We collect personal data through a hard copy intake form or online registration process. We will not sell, transfer, assign or rent your information to any third party without your permission, unless required by law or in emergency situations.

Your personal information may be used by us to send you information for education or marketing purposes, or to update you on changes to our clinic or practitioner details. You may opt-out of direct marketing at any time by notifying our practice verbally or in writing.

By visiting our website, or signing the intake form, you expressly consent to the collection and use of personal information according to this policy.


3. Storage and protection of your data

Your personal information may be stored in the following storage facilities:
▪ Physical documents will be temporarily stored in hard copy files until such time as they are scanned into electronic form and stored on Cliniko, our cloud based practice management system. Once scanned, they will be securely shredded and disposed of;
▪ Cliniko, our cloud-based practice management system
▪ MailChimp for education and marketing purposes;
▪ Xero, accounting software in the cloud;
▪ Email where applicable; and
▪ Any other electronic software relevant to our practice.

Your health information will not be used for any other purposes without consent, and consent will be sought before sharing with other health professionals.

Where possible, your health information is stored on servers that are located only in Australia. Other personal information (for example, for use with newsletter distribution) may be stored on servers outside of Australia. Your personal and health information is password-protected and encrypted.

4. Client access to own records

Individuals may request a copy of their health records at any time, or may request that their records be send to another practitioner. A charge may be payable where the practice incurs a cost in providing access. This is for administrative costs such as photocopying, etc. Where access is restricted or denied, the reason for this will be explained to the client/patient.
